Job Description:

The Ideal candidate will have the ability to manage the daily administrative responsibility of the office and provide support to the Lead Director. You will be committed to high standards whilst offering a flexible approach and have substantial MS Office skills.

Key areas of responsibility:

  • To maintain an understanding of the lead director’s role and assist in their duties, deadlines and priorities;
  • To assist in managing emails, diaries, setting up meetings, providing briefing materials and coordinating travel;
  • To co-ordinate site inspections and portfolio surveys and generally deal with clients, other colleagues and sub-contractors;
  • Audio and copy typing of all correspondence, reports, minutes etc for internal and external circulation
  • To maintain the Director’s fee book and continuously assist in the management of their account, liaising with the Accounts department when necessary and making telephone calls to chase outstanding invoices;
  •  General administrative/secretarial duties including the handling of all post, live filing, dead filing, faxing, photocopying, dealing with deliveries, organising couriers, ensuring efficient use of administrative/quality assurance systems, as well as taking responsibility for the general tidiness of the office;
  •  To organise any marketing events required;
  • Monitoring and reconciling petty cash;
  •  To assist with recruiting and inducting administrative staff, and inducting technical staff as required.
  • Any other duties that may be reasonably expected of a competent PA/Office Manager.
